Privacy Statement
Advocacy Alliance collects and stores personal information on the clients who are referred to us through other agencies or through self-referral. When we ask for this information we will:
• Only ask for what we need
• Treat the information as confidential
• Store the information on a secure database.
The information we keep about you is to help us offer you the best possible service. Keeping a record of our contact with you will help reduce the times you have to repeat your story and help us plan with you what support you need.
We will protect information and make sure only authorised people access it and will always ask for a client’s consent to share information* including when the referral comes from another agency.
(* We are legally required to share information relating to safeguarding concerns but will where possible inform you first)
What information do we record?
All referrals will be required to provide the following information:
- Your name
- Date of birth
- Address
- Phone number
- Primary need – such as disability, mental health issues, long term ill health (this is required to ascertain eligibility)
Some sensitive information such as: ethnic origin, religion, health, sexuality
recorded when relevant to your case BUT you are within your rights to refuse to share this with us.
In addition to this the Advocate you talk to will record all communication and contact with you such as details of conversations, meetings etc. This information will be kept on your record on a secure database.
The information we hold is kept for 7 years from the last date of contact.
Your Rights
You have the right to be able to see the information we keep on you and
how we process it.
You can make a complaint to the ICO (Information Commissioners Office)
not satisfied with the way we keep and process your personal data.
